Make the Most of Your Enrollment Periods with Planning and Technology
Enrollment periods are the prime selling time for Medicare Agents and the time seems to fly by in an instant. Effective time management is one of the best strategies for a productive and successful enrollment period. You’ll have an increased workload from client inquiries, federal deadlines, and various administrative tasks, you might get easily overwhelmed.
In this guide, we’ll give you some tips on how to get prepared for any enrollment period, including how to set manageable goals and ways you can use technology to save time and stress.

Make a Plan
It’s good to set a goal of how many applications you want to complete in any Enrollment Period, but you’ll want to make a more detailed plan to set yourself up to hit that goal.
Break down your goals:
- Take that number of apps you want to write and determine how many you need each week to meet that. Each week will be a milestone to help you re-assess your progress and adjust your goals if necessary.
Assess when your clients will need you the most:
- Does your client base consist of seniors who prefer to meet in the afternoons? Is your book of business full of beneficiaries who still work and might need evening appointments? If you use a CRM (Client Relationship Management) program, this data is available to you based on previous years of setting appointments.
Make a daily schedule:
- After you’ve determined when your busy times will probably be, set up a flexible daily schedule. Every day is different, but you can set up an outline for how you’d like your day to go. Maybe Monday through Thursday are dedicated to client meetings, and Friday is set aside for paperwork.
- Or maybe you work better with a split schedule where the morning of every day is for client meetings, and you process paperwork in the afternoon. Whatever you decide, you can build in flexibility for the unexpected, like clients who may need emergency bookings.
Utilize Technology
Medicare agents can use a variety of technological tools to streamline their processes, especially during busy seasons. These tools can help make your Enrollment Periods smoother for not only you, but your clients as well.
Let your clients schedule appointments online. Many email programs have integrated software that allows you to determine availability, and then let clients schedule their own meeting from those appointments. This is especially beneficial since the software won’t allow double-booking and most will also provide automated reminders to you and your clients.
Meet with your clients virtually. While you still need to be licensed in the state that your client lives, this means you can take appointments from across the country, widely-expanding your client base.
